What are the icons in the table header for?

Important information on how individual circumstances data will be used

Within the University of Sussex, only the REF Academic and Operational Manager, RQI Administrator, and HR Advisor will normally have access to the non-anonymised information on circumstances disclosed by individuals. This access may be extended to others where:

  1. The individual making the disclosure requests it 
  2. It is agreed with the individual that additional advice needs to be sought and the nature of the requirement means this cannot be done on an anonymised basis 
  3. In the unlikely event that in order to meet the University's legal or ethical obligations it is necessary to share the non-anonymised data with others

All data disclosed and held by the University will be destroyed by the end of June 2022, unless there is an exceptional requirement to retain data for longer in a particular instance. In the latter eventuality, the data will only be retained for as long as strictly necessary to meet the requirement; Senate will be notified of the extension, and all efforts will be made to ensure the individual who made the disclosure is aware of this.

If the University decides to apply to the funding bodies for either form of reduction of outputs (removal of 'minimum of one' requirement or unit circumstances), we will need to provide UKRI with data that you have disclosed about your individual circumstances, to show that the criteria have been met for reducing the number of outputs. Please see the Guidance on submissions document (paragraphs 151-201) for more detail about reductions in outputs and what information needs to be submitted. 

Submitted data will be kept confidential to the REF team, the REF Equality and Diversity Advisory Panel, and main panel chairs. All these bodies are subject to confidentiality arrangements. The REF team will destroy the submitted data about individuals' circumstances on completion of the assessment phase.
