Sessions Update

What are the icons in the table header for?

If any information is incorrect, please contact your Departmental Co-ordinator.

This table displays a list of all the students in the selected teaching group and allows you to record attendance for each student.

IMPORTANT: Remember to use the 'Save' button!

Set the status of all students by selecting from the drop-down list in the table header.

Change the status of individual students by clicking on the drop-down list in the 'Status' column and selecting from:

  • Present
  • Absent
  • Absence notified

Absence notified means that a student has given a reasonable explanation for their absence. Note that students are not expected to provide medical or other certification to explain absence from teaching events.

If you need to remove an attendance record for one or more students, then click the Delete box for that student. This does not remove the student from your teaching group, it simply deletes the attendance record for the current session. You will only see a delete box for rows where a record has been saved.

If any students have moved to your teaching group, a Backfill button will appear in the table sub-header. Clicking this button will 'back fill' the blank 'Present?' attendance record(s) with 'Absence notified' ('Abs N'). The date and time of the backfill will then be recorded in the 'Comments' column. Attendance for the session will then be complete and will disappear from the 'Attendance' task list drop-down in your main 'Teaching Groups' table.

If you need to cancel the session, click on the Cancel Session button in the table sub-header (This will be displayed if you have not yet entered attendances for the session). If you cancel a session before it is due to take place, your students will receive an email, notifying them of the cancellation. They will also receive a text message if they have signed up for this facility and input their mobile phone details into Sussex Direct. Cancelled sessions will be indicated in your teaching timetable and your students' study timetables. To set up a replacement session, you will need to contact your Departmental Co-ordinator.
